just a reminder
if you haven't paid your membership by the end of this month then you are not insured and carnt come under the 514th and any fuel money will be divided to the people who have paid
sorry as this may seem a bit hard but it has to be

Dear all,



So we have just six weeks to go! Which means it's about time I sent you all an update. Firstly, I have attached the draft site plan and key. Can you all please take a good look and get back to me within ONE WEEK of receipt of this email if you have any issue with your location. Also, if you can really only comment if there is a serious issue it would be much appreciated. The event is far bigger this year, which is obviously a good thing, but space is at premium now and we have very limited options for making changes. Please note that groups allocated as 'STROLLING' or 'RAMPARTS' do not have a fixed location on this plan, although you are all listed.



I have also attached the timetable. We have tried to timetable less things this year, for much the same reasons; there is so much going on that it's almost impossible - unlike other events we don't have an arena. However, we are making people aware that lots of groups will just have improvised activities going on through the day. For the first time ever, I think our visitors really will need to stay all day, and ideally two, if they hope to see everything. If you really do have an activity you would like to see specifically timetabled please let me know within the week, but as with locations, please can you only ask if it's absolutely vital. if you have been timetabled and the timings do not work for you please let us have an alternative time which works for you and we'll do our best to accommodate you.



Joining instructions and risk assessment for groups using the Ramparts are attached, these are much the same as last year.



Finally, a few specific points for this year, most of which are repeated on the joining instructions:



(1) C Magazine cannot be used for overnight accommodation this year, and is thus available during the day for changing, bag drop, rest room etc. This will be a shared space for all groups and items are left at owner's risk.



(2) Can all groups help us out by supplying final numbers attending by return of email, one week after receipt of this. We will be issuing site passes at the start of the event, and although we will keep a few spares to account for late joiners, we'd rather get this nailed down early. This is to prevent people simply turning up in uniform and asking for free access without contributing to the event, which happened last year.



(3) Could you also let us know how many discounted dance tickets you will require for Saturday night, if any. As I said in my previous, we have had to introduce a paid ticket this year, but this has been set at a 50% discounted rate of £6.00. Also, we are running a simple cash bar this year for anyone who just fancies a pint. This will be in outside on site, and will be open for as long as there are customers, or until the dance closes.



(4) Set up: the site will be available on Friday night to 19:00 and after 06:00 on Saturday. The site must be set and all non-period vehicles off-site by 08:45. Doors will open to the public at 09:30



(5) As with last year, we will be organising a very short briefing for re-enactors in the Museum café at 09:00 on the Saturday morning. We would like each group to send a nominated representative, and ideally we would like ALL re-enactors who are walking the site rather than working out of a fixed location to attend.



(6) If you have time, it would be really useful if every group could supply a brief paragraph about your group and what they will be doing at Spirit of the 40s. We can then post this on our web site and social media pages. Also, over the weekend, if you would like to our announcer to say anything about your activities, let us know in advance or on the day and we will make sure it gets said - don't be shy!
